- Keep the teams running: Coordinate calendars, meetings and travel; prepare agendas and follow-ups.
- Onboarding & people support: Coordinate onboarding for employees and consultants; be the go-to contact for practical questions.
- Events & meetings: Plan and run internal/external meetings, workshops and conferences (logistics, rooms, vendors, materials).
- Communication & docs: Create and polish presentations, reports and communications (Teams/PowerPoint/Word/Excel).
- Process & admin: Support with personnel administration and simple purchasing, keep trackers and templates up to date.
- Collaboration: Work closely with line managers and with assistant peers locally and globally to share best practice and improve ways of working.
- Proactive partner: Spot gaps, suggest improvements and take initiative in a fast-paced environment.
- Projects various ongoing projects for the organizations such as renovations and office layout
- Experience from an administrative/assistant/office coordinator role.
- Experience with simple IT troubleshooting
- Coordination and prioritization skills; you like structure and deadlines and a high temp.
- Microsoft 365 (Outlook, Teams, PowerPoint, Excel, Word) proficiency.
- Very good English and Swedish (written & spoken).
- Relevant experience or education in administration/business.
